Group archive access policy
- Access to the archives is by appointment only and at the discretion of the group archivist. The company reserves the right at any time to restrict or prohibit access without notice.
- Access to customer records less than 100 years old and corporate records less than 30 years old is closed except in very special circumstances.
- Access is granted on the understanding that the reader is engaged in bona fide historical research, and that information obtained will in no way be used against the interests of the company.
- No information may be extracted from documents beyond the agreed subject of research.
- Times of access are a matter for discussion between the group archivist and reader and may be subject to variation at short notice.
- Every reader must sign the search register on each day of attendance. Signing implies that the following search room regulations will be observed. Proof of identity may be requested at the first signing.
Search room regulations
- Smoking, eating and drinking in the search room are prohibited.
- Readers may write only in pencil. The use of tape-recorders, portable typewriters, word-processors, digital cameras or laptop computers is at the discretion of the archivist.
- No mark shall be made on any document and no person shall lean upon any document or place on it the paper on which they are writing. Generally the greatest care must be taken in handling documents. They must never be removed from the search room by the reader.
- Documents may be photocopied, scanned or photographed at the discretion of the archivist, who reserves the right to charge a fee for this service.
- The final draft of any text that concerns the business of the company, insofar as information has been gathered from the company’s records, must be submitted to the archivist for approval before publication. In this connection an academic thesis is regarded as publication.
